Appliance repair software

Appliance repair software built for real field work

The short answer

Appliance repair software is field service software built around the machine: it keeps the brand, model and serial on record, tracks parts and van stock, opens parts diagrams by model, turns the estimate into the invoice, schedules technicians by area, and links a warranty callback to the original job. Taskrol does all of that in one app on iOS, Android and web, free for one technician.

Taskrol is appliance repair software made by Kereon Inc., and it runs every day at Cactus Appliance, an appliance repair company in Orange County, California. It starts from the gap a general field service platform leaves in this trade: the job holds the customer, the schedule and the invoice, while the appliance's make, model and serial go into a note or a photo of the plate, and the parts, the van stock and the return visit live somewhere else.

That gap costs more than it looks. In a shop running 150 jobs a month, a part is needed on almost every call, and every part starts with a model number, so a job record that does not hold the machine sends the technician back to the data plate, or to the office, for the number.

So Taskrol starts from the machine: the record on the job is the appliance, and the parts search, diagrams, van stock, estimate and callback hang off it. Below is how a job moves through it, what the software has to cover, and how it compares with a general platform.

Every new account starts with 7 days of Pro, no card. After that, Solo stays free forever for one technician and one company.

How a repair job moves through appliance repair software: from the call to the paid invoice

  • 1. The call becomes a job on one screen

Quick Job creates the customer and the job together: address, appliance type, brand and model if the caller has them, the complaint, the arrival window and the technician. A website booking lands the same way, in a real window from technician availability. With Voice & SMS and an AI Agent pack, missed calls are answered and booked into the same schedule.

  • 2. The technician gets the day on a map

Each technician has a column on the board, a work schedule and a ZIP service area, so the office assigns with coverage and availability in view. The day's visits sit on a map numbered in the order you built the schedule. On the job, press and hold the phone number or address to copy it.

  • 3. Diagnostic fee signed, then the model number

Before the machine is opened, the customer signs the diagnostic authorization on the technician's phone, so the fee is never a surprise at the end. Then the technician records brand, model and serial on the job's device card; on the phone, the camera reads the model and serial off the data plate, and on Basic and Pro one photo fills all three fields.

  • 4. Parts: the diagram, the catalog, and what's on the van

From the model number, Diagrams opens the exploded views with each page's parts list and an Add button; on Basic and Pro, Manuals sit one tap away. The parts search shows the model's catalog list next to your own stock, with the van cell or warehouse shelf. A part you don't have goes on the shopping list tied to the job; when it arrives, switch on Parts received and the job shows under Ready to install.

  • 5. Estimate options, one signature, one invoice

The estimate and the invoice are one document. The technician puts up to three repair options on the job; until the customer signs one, they owe only the service call. They can sign on the spot or later from the link. When they do, you get an Estimate approved push, the signed option becomes the invoice, and the others stay on the job as Not selected.

  • 6. Payment, the numbers, and the callback

Card payment happens on the job — Stripe, Tap to Pay on iPhone, or a payment link — with a card markup of 0 to 4% if you pass the fee on, set under Settings → Payouts. The job lands in reports as one row: revenue, parts cost, margin, tax, tips, card net after fees. If the machine acts up again, Warranty Call on the completed job books the return visit, linked to the original.

What appliance repair management software must do for a repair company

  • Keep the appliance on record, with every past job

The appliance is a record, not a line in a note: brand, model and serial per appliance, saved to the customer as well as to the job. A customer with three machines has three appliances on record, and each job in the customer's history carries the appliance it was for, so a year later the technician opens the earlier job and sees what was done on that unit, not a blank ticket.

  • Schedule by area and show the day on a map

Appliance repair is short visits across a wide area, so the schedule has to know where people are. Arrival windows come from each technician's availability and coverage, so the office promises times the crew can keep.

Appliance repair scheduling software: dispatch by area on a map →
  • Look up parts by model number without leaving the job

The model on the job drives the parts search. Results come from the Encompass appliance parts catalog Taskrol integrates with — the model's parts list, part-number search, manuals where the catalog has them — and the part you pick lands on the job and the shopping list.

Appliance parts lookup by model number, inside the job →
  • Open the parts diagram for the model, and add the part from it

Exploded views by model number, page by page, with the parts list under each drawing and an Add button beside each part. When the technician is not sure of the part's name, the diagram settles it. Parts diagrams are on every plan, including the free Solo plan.

Appliance parts diagrams by model number →
  • Count van and warehouse stock down to the shelf and box

Every part has a home — a van cell, a warehouse shelf, a box — and the parts search shows that stock beside the catalog result, so the technician knows what he carries before he buys. A tracked part that runs down to your low-stock number adds itself to the shopping list; on Pro the team shares one warehouse and one list.

Appliance repair inventory software for van and warehouse stock →
  • Turn the estimate into the invoice and take the card on the spot

One document, up to three options, the diagnostic fee first. The signed option turns into the invoice with nothing retyped, and payment is taken on the job by card, Tap to Pay on iPhone, or a payment link. Money status shows on the technician's phone and in the office at the same time.

Appliance repair invoicing software: estimate to paid invoice →
  • Book the warranty callback from the original job

A return visit for a repair you already did is part of the trade. Taskrol creates it from the completed job with one tap, copies the customer, address and appliances, links it to the original, and keeps a free return out of your job counts.

Warranty callback tracking linked to the original repair →
  • Report real margin and send the invoices to QuickBooks Online

Because parts cost flows through the job, the margin report shows what a repair made after parts. On Basic and Pro, the web reports filter by period, technician or payment method; pick the columns and download the CSV the bookkeeper works from. Connect the company to QuickBooks Online and each job's customer, invoice, payments and refunds go to your books one way as the job is completed and paid.

Appliance repair profit reports and the CSV export →

General field service platform vs appliance repair software

  • The machine and its parts

General platform: the appliance is a custom field or a note, and parts are line items you type after looking them up in another tab. Taskrol: brand, model and serial are the record on the job, and the model's parts list and exploded diagrams open inside it; adding a part puts it on the job and the shopping list in one step.

  • What's on the truck

General platform: inventory, where it exists, is a separate stock screen the technician has to remember to open. Taskrol: the parts search on the job shows the van cell and warehouse shelf next to the catalog result.

  • Estimate and invoice

General platform: usually two documents — a quote converted into an invoice, sometimes with a separate approval step. Taskrol: one document with up to three options; the customer owes only the service call until they sign, and the signed option becomes the invoice with nothing retyped.

  • The second visit

General platform: a return trip is a new job, linked to the first one if someone remembers. Taskrol: Warranty Call on the completed job creates the linked visit, and a job waiting on a part moves into Ready to install when you switch on Parts received, so the return is scheduled from the same record.

  • Scheduling

General platform: one dispatch board shaped to serve every trade. Taskrol: built for calls that come in when a machine breaks — a column per technician with his work schedule and ZIP service area, the day on a map in schedule order, and online booking and the AI Agent filling the same calendar.

  • One trade, done in depth

General platform: many trades in one account, on one job record written to fit all of them. Taskrol: built for appliance and HVAC equipment repair — the machine, its parts, the van stock and the diagrams — with margin and card net in the reports, a CSV for the bookkeeper, and invoices and payments sent to QuickBooks Online.

Frequently asked questions

What is appliance repair software?

Software that runs an appliance repair company's day around the machine being fixed: the appliance (brand, model, serial), the technician's schedule by area, parts by model number, van stock, the estimate and invoice, payment, warranty returns linked to the original repair, and margin. A general field service platform covers the job and the customer; appliance repair software also covers the part and the machine.

Is there free appliance repair software?

Yes. Taskrol's Solo plan is $0 a month for one technician, no card: unlimited jobs and customers, the appliance record, parts search and diagrams, van and warehouse stock with the low-stock auto-add, estimates, invoices and card payments. Teams, roles, the full web reports and AI invoicing start with Basic, and every new account gets seven days of Pro at sign-up.

What is the best appliance repair software?

For an appliance repair company, our pick is Taskrol. It is our own product, so here are the reasons to check for yourself: the machine is on the job with its model and serial, parts are looked up by model number, van stock shows in the parts search, a warranty return is linked to the original job, and the Solo plan is free for one technician and does not expire. Our roundup of the best appliance repair software ranks 17 tools, Taskrol first, and says what each of the others is built for.

Does Taskrol work for HVAC?

Yes. Taskrol is built around equipment with a model and serial plate, appliances and HVAC units alike: jobs, scheduling by area, estimates with options, invoices, payments and van stock work the same way for a furnace as for a dryer.

Can I import from Housecall Pro, Workiz or Markate?

Yes, in the Taskrol web app under Settings → Database import. Housecall Pro brings your customer list; Workiz brings customers and jobs; Markate brings customers and work orders. For any other system, send your export to [email protected] and we migrate it — we move what your old system exports.

Does Taskrol integrate with Encompass?

Yes. Taskrol integrates with the Encompass appliance parts catalog: the model's parts list, part-number search and exploded diagrams open inside the job, service manuals from the catalog join the manual library on Basic and Pro, and you do not need your own Encompass account.

What does Taskrol give my bookkeeper?

Invoices and payments in QuickBooks Online: connect the company once and each job's customer, invoice, payments, tips, card surcharges and refunds are sent there one way as the job is completed and paid. And the money side of every job — revenue, parts cost, margin, tax, tips, payment method and card net after fees — downloaded as CSV from the web reports on Basic and Pro.

Is Taskrol appliance repair estimating software too?

Yes, and the estimate is not a separate product. Up to three repair options go on the job; the customer owes only the diagnostic fee until they sign one, in person or later from the link. Once they sign one, that option is billed as the invoice and the other options stay on the job as Not selected. Sales tax by ZIP is an optional add-on.

Is there an appliance repair app for technicians?

Yes. Taskrol runs on iOS and Android as well as the web, and the technician's day happens on the phone: the day's map, the job with its appliance card, the camera reading the model and serial off the data plate, parts search with van stock, diagrams, the estimate with the customer's signature, and card payment including Tap to Pay on iPhone.

Does Taskrol replace Housecall Pro, Jobber, or Workiz?

For an appliance repair company, yes: Taskrol covers the job, the schedule, the invoice and the payment, and adds the parts, inventory, diagram and estimate workflows built for appliance work. Housecall Pro and Workiz exports import directly in the web app, and from Jobber or any other system we migrate your export through support. The comparison pages lay out the differences product by product.
