Online Booking for Appliance Repair: From Your Website Straight Into Your CRM

Most service calls start the same way. The phone rings while you're elbow-deep in a dryer, hands full, customer standing next to you. You can't pick up. And the person calling usually doesn't leave a voicemail — they just call the next company on the list.

That's the call you never knew you lost.

This month we shipped online booking for appliance repair companies in Taskrol, and I want to walk through how it actually works — because we built it the way a repair business needs it to work, not the way a generic web form works.

What the customer sees

You get a booking link you can put anywhere: your website, your Google Business Profile, a WordPress page, even a text message.

The customer opens it, types in their ZIP code, picks the appliance, and chooses an arrival window — something like 9:00 AM – 12:00 PM.

And here's the difference from a typical "request an appointment" form: those windows are your real availability, not a wish list. Taskrol builds them live from your technicians' actual schedules and the jobs already on their calendars. If Tuesday morning is full, the customer simply won't see it. They can only book a time you can actually honor — which means no double-booking and no awkward call-back to say "actually, that time doesn't work."

Then they leave the details you'd normally spend ten minutes collecting on the phone: model number, what's wrong, address, unit number, even the gate code. Two minutes, no phone call, works at 10 PM on a Sunday when half of these decisions actually get made.

What you see

Here's the part that matters. This isn't a "lead" that sits in some inbox waiting to be retyped.

The moment a customer submits, Taskrol creates a real job: the client with their address and phone, the appliance with its model number, the complaint, the assigned technician, and the time on the calendar. You get a push notification. The customer gets a confirmation text with the technician's name. Nothing to copy, nothing to re-enter. Next time they call, you'll see their rating when you book the job.

ZIP codes do the routing

Every appliance repair company has a map in the owner's head: we cover these areas, Mike doesn't go south of the freeway, nobody drives to that county for a diagnostic fee.

We turned that map into settings. You define which ZIP codes your company serves, and which ZIP codes each technician covers. When a customer books, Taskrol only offers time slots from technicians who actually work that area — based on their real weekly schedules and the jobs already on their calendar, with a gap between appointments so you don't end up with two 9 AMs on opposite sides of town.

What if there's no slot — or the customer is out of area?

A normal booking form would just say "sorry" and lose the customer.

Taskrol doesn't. If nobody covers that ZIP or the next two weeks are full, the request still comes in — the customer picks a rough preference (morning, midday, afternoon), and the job lands in your CRM flagged "confirm time with the client." You call back when you can and lock it in. And if the address is truly outside your area, the customer sees a message you wrote yourself, not a generic error.

Setup takes an evening

Turn it on, get your link, set your service areas and work schedules, block off the dates you don't want bookings. If you don't set any ZIP restrictions, everything stays open — you only add rules where you need them. And yes, there's spam and bot protection built in, so the form doesn't flood you with junk.

Why we built it this way

Because the alternative is what I lived through: information scattered between a phone call, a text message, and somebody's memory. A booking that arrives as a complete job — client, appliance, technician, time — is one less place for things to get lost.
